Multi-tenant data isolation
Every organisation is assigned a unique tenant identifier, enforced on every authenticated request before any data is read or written. Your identity is verified first; your tenant is resolved from your own account, never from client-supplied input. There is no code path by which one organisation's data is queryable using another organisation's session — your data is logically isolated at every layer of the stack.
Data sovereignty & residency
All production infrastructure — application servers, databases, document storage, search indexing, and AI model processing — is deployed exclusively in Microsoft Azure's Australia East region. Your data is not routed offshore for processing or storage as part of normal operation. This is an infrastructure-level commitment, not a configuration toggle.
Retrieval-grounded answers & citations
topicAI does not let the underlying model answer from general knowledge alone. It first retrieves relevant passages from your own uploaded documents — filtered by your tenant identifier at the search layer itself — and grounds its answer in that content. Every substantive answer is returned with citations back to the specific source document.
Approved reference sources only
Where topicAI supplements your documents with external reference material — council or planning information, for example — that material is drawn only from a curated set of approved sources, never from an open, unrestricted web search or the model's own unverified training knowledge. Reference data is cited back to its source, the same as your own files.
AI processing, never used to train shared models
AI processing runs on Microsoft's enterprise Azure AI platform — the same Australia-based infrastructure referenced above — not a public consumer AI product. Under Microsoft's Azure AI data privacy terms, your prompts, documents, and generated output are not used to train or improve any shared or publicly available model, and are never made available to any other customer.
Security posture
Data is encrypted in transit and at rest using Microsoft Azure's platform-level encryption. Authentication is handled via Microsoft Entra ID, with every request cryptographically verified before it reaches any application logic. topicAI is built on Microsoft Azure, which holds broad independent certifications — including ISO 27001 and SOC 2 — at the infrastructure level.
In short: your client data stays within your own tenant, is processed and stored only within Australia, is never used to train shared models, and is never exposed to another organisation using the platform.
